Recent data reveals that 33% of agents are seeking to integrate group excursions into their offerings. Among those who currently aren’t selling affinity groups, 43% expressed interest in exploring this avenue. The popularity of group travel has long roots. The TravelAge West survey indicates that over half of travel agents (55%) believe they will sell more group travel in 2024 than they did in 2023. Interestingly, agents also report that their groups are spending more compared to pre-pandemic times. Group dynamics can vary from families traveling together to connecting complete strangers, and navigating the preferences and expectations of all members can seem daunting for travel advisors. Nevertheless, with the right strategy, the potential rewards can be significant.

Brian Jewell, vice president of The Group Travel Leader, describes the "Legacy Model" of group travel, tracing it back to the post-World War II era. During this time, people began traveling together primarily as a means to save money. Much like shopping in bulk at warehouse stores, group travel allows participants to benefit from lower costs.

With the arrival of Baby Boomers, the landscape shifted again. This demographic was more willing to explore and spend, leading to a boom in experiences that cater to their interests, such as upscale accommodations and unique culinary experiences.

Even with existing challenges from the pandemic and rising costs in the travel industry, opportunities abound for travel advisors now. "It scales very well," notes Jewell, emphasizing the advantage of planning for a group over individual clients. While the workload may be two or three times greater when organizing a group trip versus a couple’s getaway, the revenue potential can be exponentially higher.

The first step towards organizing successful group trips often involves establishing strong relationships with reliable suppliers. In the case of Malerman’s affinity cruise, their partnership with Royal Caribbean was critical due to its established reputation and supportive team. The focus on group travel has become pronounced, with suppliers like ALG Vacations reporting a surge in interest from travel agents, especially in popular destinations such as Mexico, the Caribbean, and Europe.

Navigating the Group Booking Process

Many travel suppliers ensure that the group booking process is easy for agents. This includes proprietary booking software and tailored training. In 2023, ALG Vacations launched an enhanced method for capturing flight information within their group dashboard, positioning their agents for smoother communication and better organization.

Understanding the commissions and incentives from suppliers can also be beneficial. For example, Virgin Voyages may increase commission rates when handling group bookings. Moreover, travel advisors are often incentivized with tour conductor credits for successful group sales — credits that can translate into enticing perks like free room nights or additional commissions.

Local tourism boards and CVBs (Convention and Visitors Bureaus) can be invaluable resources for travel advisors as they often have specific departments dedicated to attracting group travel. These entities may provide exclusive rates, marketing materials, and logistical support, enhancing the overall experience for the travelers and the advisor alike.

Crafting the Perfect Group Experience

Some advisors take a hands-on approach by crafting group trips a la carte, managing each segment of the journey while also marking up rates. Antoine Wilson, owner of A.D. Elite Travels, exemplifies this model by maintaining a personalized experience for his clients. Utilizing platforms like WeTravel, he creates tailored websites for each group, automating communications while keeping track of financial transactions seamlessly.

Two predominant models exist within group travel: the "come-along-with-me" method, where advisors join participants on the journey, and the "follow-the-leader" approach, where a designated group leader manages communication and logistics among participants. Malerman prefers being on-site during cruises to ensure everything runs smoothly, while Wilson benefits from designating a reliable group leader who can streamline communications.
